How therapist productivity is calculated

Therapy productivity compares billable treatment minutes with the total worked minutes used by your clinic or employer. Unpaid lunch is usually excluded; documentation, scheduling, care coordination, and other paid non-billable time usually remain in the denominator.

Productivity % = billable minutes / worked minutes x 100

Worked minutes needed = billable minutes / target productivity

Required billable minutes = worked minutes x target productivity

Calculate therapy productivity with an unpaid lunch

Start with the full clock time, then remove only the unpaid lunch time your employer excludes from productivity. For example, an 8:00 AM–4:30 PM day with a 30-minute unpaid lunch has 480 worked minutes. At an 85% target, that day needs 408 billable minutes.

Billable minutes needed = (clock minutes − unpaid lunch minutes) × target productivity

Do not automatically subtract paid documentation, care coordination, or paid breaks. Whether those minutes count depends on your employer's productivity definition.
